HSA Board Position Descriptions

The President shall:

• preside at and administer all regular, special, and Executive Board meetings
• call special meetings of the Home School Association Executive Committee
• serve as the official spokesperson for the Association
• with the Principal, set the agenda for general and executive committee meetings.
• serve as an ex-officio member of identified subcommittees
• perform such duties as are incumbent of this office
• act as advisor and liaison among the Association, faculty and parish
• receive notices of all meetings
• provide year-end report to the Principal
• General duties:
  • Identify sub-committee Chairpersons based on parent interest
  • Work with the Board to identify Key/Class Parents
  • Responsible for leading all general HSA meetings
  • Work closely with Administration on class party planning / timing
  • Ensure that class trips are communicated, as appropriate, and invoices provided to Treasurer
  • Lead the fair shift planning, including coordination of shift coverage as needed
  • Represent the Board at the Student Advisory Council Meetings
  • Lead and Support other activies as identified throughout the year

The Vice President shall:

• assume the duties of the President in his/her absence
• preside at and administer all subcommittee meetings
• perform additional duties designated by the President
• assist in the formation of all committees and serve as an ex-officio member
• assure that committees meet their goals and report their results and recommendations to the Board
• assume the duties of the President until the next election if the office of President becomes vacant
• General duties:
  • Plan Field Day for the Main School, including selection of activities and preparation of the daily schedule
  • Arrange for teacher’s breakfast and lunches as identified by the administration
  • Identify and confirm sub-committee Chairpersons based on parent interest
  • Work with the Board to identify Key/Class Parents
  • Responsible for leading Class Parent Subcommittee Meeting
  • Responsible for leading Sub-Committee Meetings
  • Responsible for the upkeep of the HSA portion of the school’s website.
  • Support all fair activities as identified by the President

The Corresponding Secretary shall:

• conduct the correspondence of the Association
• maintain a current file of reports, records and correspondence of the Association
• assume responsibility for recording and correcting, as amended, the Constitution of the Association
• serve as ex-officio member of committees as designated by the President
• perform additional duties designated by the President and Vice President
• General Duties
  • Lead the creation and updating of the Tricky Tray donation list
  • Work with the Board to identify Key/Class Parents

The Recording Secretary shall:

• record and make available copies of the minutes to all members at general meetings of the Association
• serve as ex-officio member of committees as designated by the President
• perform additional duties designated by the President and Vice President
• General Duties
  • Work with the Board to identify Key/Class Parents
  • Work closely with the Vice-President on internal notification to Class Parents
  • Ensure class trip information is communicated to Class Parents

The Treasurer shall:

• collect and deposit all monies received through Association fundraising and contributions
• obtain Pastor approval for all Association expenditures
• serve on all Association fundraising committees as an ex-officio member to coordinate and help to prepare Association fundraising reports
• maintain records of all receipts and expenditures
• review and arrange for payment of any Association bills
• provide an accounting report of all income and expenditures as requested
• provide a year-end Association budget review
• identify subcommittee budgets for the new school year
• perform additional duties as designated by the President
